When Must I Register for VAT?

VAT (Value Added Tax) is a tax charged on most goods and services sold in the UK by VAT-registered businesses.

When Must I Register for VAT?

For many businesses, VAT registration is a milestone — and sometimes an unexpected obligation. Whether you’re a sole trader, partnership, or limited company, knowing when you must register for VAT is crucial to avoid penalties and keep your tax affairs in order.

So, when exactly must you register?

The Compulsory VAT Registration Threshold

In the UK, you must register for VAT with HMRC if:

  • Your VAT taxable turnover (total of all sales subject to VAT, excluding exempt supplies) exceeds £90,000 in the last 12 months (as of 1 April 2024), or

  • You expect your turnover to exceed the threshold in the next 30 days alone

This is known as the rolling 12-month threshold. It doesn’t align with the tax year or your accounting year — it’s calculated on a month-by-month basis.

📌 Example:

If your turnover for the 12-month period from May 2024 to April 2025 exceeds £90,000, you’ll need to register for VAT — even if you only crossed the threshold in April.

Expected Turnover Test – 30-Day Rule

If you receive a large contract or know you’ll exceed the threshold in a single 30-day period, you must register immediately — even if you haven’t yet exceeded it on a rolling basis.

📌 Example:

If you secure a contract worth £95,000 to be fulfilled in the next month, you must register within 30 days of knowing that you’ll breach the threshold.

Voluntary Registration: Should You Register Early?

Even if you haven’t hit the threshold, you may choose to register voluntarily. This can be beneficial if:

  • You only deal with VAT-registered businesses, and can reclaim VAT on purchases
  • You’ve had high setup costs, and want to reclaim VAT on equipment or services
  • You want your business to appear larger and more established

However, if your customers are individuals or exempt businesses, charging VAT could make your prices less competitive. It’s worth weighing up the pros and cons with a tax adviser.

What Happens If You Fail to Register?

If you should have registered and didn’t, HMRC can:

  • Demand backdated VAT from the date you should have registered
  • Charge interest and penalties, depending on how late your registration is

In some cases, the bill can be substantial — particularly if you haven’t been charging VAT on your sales and can’t recover it from customers retrospectively.

Other Triggers for VAT Registration

There are additional cases where VAT registration is required:

  • Taking over another business that was VAT-registered and whose turnover adds to yours
  • Making distance sales into the UK from the EU (post-Brexit thresholds may apply)
  • Supplying digital services to consumers in the EU (via the One Stop Shop)

If you trade internationally or operate online, your VAT obligations may become more complex — and early advice is key.

What to Do If You’re Close to the Threshold

If you’re approaching £90,000 in rolling turnover:

  • Monitor your income monthly, not annually
  • Keep detailed records of invoices and sales
  • Speak to your accountant or tax adviser — early action can save money and stress

How to Register for VAT

Registration is usually done online via HMRC’s website. You’ll need:

  • Your business details and structure
  • Your turnover and expected sales
  • Details of any associated businesses or past VAT registrations

Once approved, HMRC will issue a VAT number and confirm your effective registration date.

From this date:

  • You must charge VAT on taxable sales
  • Submit VAT returns (usually quarterly)
  • Keep VAT records and a VAT account

You’ll also need to comply with Making Tax Digital (MTD) rules, which require digital record keeping and submission using MTD-compliant software.
