What this session covers

Build a repeatable AI-assisted workflow from start to finish

The aim is not to make AI sound impressive. The aim is to show where it can remove friction from ordinary work while keeping people in control of the judgement calls.

1 Define the task

Decide what the job is, who owns it, and what good output looks like.

2 Collect inputs

Identify the documents, notes, messages or spreadsheet fields the workflow needs.

3 Use AI assistance

Draft, summarise, structure, compare, classify or prepare the next action.

4 Review safely

Check accuracy, tone, privacy, missing information and business risk.

5 Reuse and improve

Save the workflow as a skillset card, checklist or project process.

Projects + skillsets + workflow design

The practical framework participants will learn

A good AI setup is not just a prompt. It needs context, repeatable instructions, a defined output and a sensible review step.

  • Use Projects as workspaces. Keep relevant notes, examples and business context together so the AI has a clearer frame of reference.
  • Use skillsets as reusable playbooks. Convert repeated tasks into simple cards: purpose, inputs, prompt, checks and expected output.
  • Use workflow maps before automating. Do not automate a messy process. First, clarify each step and decide where AI should assist.
  • Use review gates. Separate low-risk drafting from high-risk decisions, approvals, client messages or financial/legal claims.
  • Use handover notes. Make the process clear enough that another person can repeat it without needing to reinvent the prompt.
The key lesson

AI should support the process, not secretly become the process

Participants will learn how to use AI confidently without losing track of accountability, source material, quality control or privacy.

Prompt

A single instruction used once. Useful, but easy to lose, forget or apply inconsistently.

Skillset

A reusable method for a task, including inputs, prompt structure, examples and checks.

Workflow

A complete process that defines the start point, AI support, human review and final output.

Practical examples

Everyday workflows we can turn into AI-assisted systems

The session uses recognisable examples so participants can see how the same method applies to admin, communication, documents, meetings and reporting.

Email response workflow

Turn a messy email into a clear reply draft, action list and follow-up reminder, while keeping final approval with a person.

Meeting notes workflow

Convert rough notes into decisions, tasks, owners, deadlines and a short summary that can be sent internally.

Document review workflow

Ask AI to highlight missing information, unclear wording and possible risks before a person completes the final review.

Spreadsheet support workflow

Use AI to explain formulas, clean categories, draft update notes and identify fields that need human checking.

Content repurposing workflow

Turn one idea into a blog outline, LinkedIn post, email draft and short FAQ without losing the original message.

Research brief workflow

Structure questions, compare information, record assumptions and produce a review list before making a recommendation.

Live build: create your own workflow card

Participants will choose one real task and turn it into a simple workflow card they can reuse after the session. The card will define the task, inputs, prompt structure, quality checks, risk level and final output.

Task name Inputs needed AI role Human review Final output Reuse notes
Session plan

Week 3 agenda

The session is designed to be practical. Each concept is connected to an example, a worksheet-style exercise or a reusable output.

Opening

Recap: from prompts to Projects and skillsets

Quickly revisit why context, examples and reusable instructions make AI more useful than isolated prompts.

Part 1

How to map a task before using AI

Break a task into trigger, input, action, review and output so AI has a clear role rather than a vague instruction.

Part 2

Turning a skillset into a process

Take a reusable prompt card and expand it into a workflow that another person could follow.

Part 3

Automation opportunities and limits

Understand what can be safely streamlined, what needs approval, and where automation can create risk if it is rushed.

Workshop

Build a workflow card for one real task

Participants create a reusable workflow card for a chosen task such as email replies, meeting notes, document review or reporting support.

Close

Review checklist and next steps

Finish with a practical checklist for improving the workflow, testing it safely and deciding what could be added to a Project.

By the end of Week 3

Participants will leave with usable workflow confidence

The aim is for people to leave with something practical, not just more theory.

1

Map a repeated task

Break work into steps so AI can support specific parts rather than guessing what is needed.

2

Create a workflow card

Build a reusable card containing the task purpose, input requirements, prompt structure, checks and output format.

3

Improve Project organisation

Know what belongs inside an AI Project and how to separate different business functions or workstreams.

4

Spot safe automation opportunities

Identify where automation can help and where human approval should remain non-negotiable.

5

Use a review checklist

Check accuracy, tone, missing information, privacy and risk before relying on an AI-assisted output.

6

Move from idea to implementation

Understand how to take a useful AI idea and turn it into a process that can be tested, refined and reused.

Common mistakes

What Week 3 helps people avoid

Most AI problems do not come from a lack of clever prompts. They come from unclear processes, weak checks and unrealistic expectations.

Automating too early

If the process is unclear, automation usually makes the confusion faster. Week 3 starts with mapping the task properly.

No review point

AI can help prepare work, but someone still needs to check accuracy, context, sensitivity and final judgement.

Mixing too much context

Putting every task into one generic chat or Project makes outputs less reliable. Clear workspaces produce better results.

Keeping prompts in someone’s head

A useful workflow should be documented so it can be reused, improved and shared with another person.

Uploading the wrong material

Participants will be reminded to think carefully about confidential, personal or commercially sensitive data.

Expecting perfect output first time

Good workflows are tested and refined. Week 3 shows how to improve prompts and checks without starting again.

Questions

Week 3 FAQ

Do I need to understand automation tools before attending?

No. The session starts with workflow thinking rather than technical automation. The aim is to help you understand what should happen before deciding whether tools or integrations are needed.

Will we build a live automation?

The main output is a workflow card and process map. Depending on the group, examples may show how a workflow could later connect to tools, but the session avoids pretending everything should be automated immediately.

How does this connect to Projects and skillsets?

Projects hold the context for a work area. Skillsets hold the reusable method. Week 3 connects both into a workflow with clear inputs, AI support, review points and final outputs.

Is this suitable for beginners?

Yes. The course is designed for people who are new to AI or still building confidence. The session uses practical examples rather than technical jargon.

What should I bring to the session?

Bring a laptop and one repeated task you would like to improve. Good examples include replying to similar emails, summarising meetings, preparing reports, reviewing documents or creating regular content.

Is this free for Merranti clients?

Selected Merranti Accounting clients can access limited free spaces. Standard places are normally £149.
